Founded September 2025 · Built from the Inside

We didn't start
by building software.
We started with a problem.

In 2022, we were responsible for 120 employees whose files had never been properly organized, whose payroll took five days to produce, and whose output still had errors when it was done. No available system fit the work we were actually doing. So we built one.

That same payroll now runs in 8 seconds. The system managing it — Nexis™ — runs a large, multi-site operational workforce across multiple departments today. NexGridCore DataLabs was founded in September 2025, not before the products existed, but after they had already proven themselves under real operational pressure.

Built by the Person
Who Had the Problem.

It started with a filing system. 120 employee records, scattered. Application letters separated from statutory documents, ID copies in different folders, everything requiring physical confirmation before anything could be relied on. The first month was spent organizing paper.

Payroll was calculated manually — activities tracked on sheets that required multiple signatures before anyone trusted the numbers. At the end of five working days, the figure you arrived at was still approximate. Approximate was not good enough.

We tried MS Access first. The learning curve and the data complexity made it impractical. We pivoted to Excel — built a profiles system using IF formulas that consolidated every employee's information into a single retrievable view. It worked. We called it ActivePayPro. Payroll went from five days to 25 minutes.

VBA brought it to five minutes. The next iteration — NexusVBA™ — formalized the migration methodology as a product, because we had learned that every organization running complex operations on Excel is one corrupted file away from losing everything. Python and PostgreSQL took the payroll engine to 8 seconds. What became Nexis™ added real-time dashboards, role-based access, 2FA, full audit logging, and a financial reporting layer that generates branded multi-sheet Excel workbooks automatically.

NexGridCore DataLabs was incorporated in September 2025. Not as a startup seeking product-market fit. As the formalization of a body of work already proven at scale, sold back to the organization where it was built, and running without interruption ever since.

"We are simultaneously the developer and the client. All the limitations we have built around is one we felt personally. Each feature that ships has been used by someone who depended on it. That is not a selling point. That is a standard we are held to."

NexGridCore Founded

Company Incorporated. Products Already Live.

NexGridCore DataLabs formally incorporated. Nexis™ sold to Mibrinesh Investments as the first client — the same organization where all products was built and proven. NexusVBA™ released as a standalone migration product.

2025–26
RetiFlux™

Warehouse Accountability at Pallet Level

A third-party site had persistent shrinkage despite an enterprise ERP being fully deployed — numbers posted to balance on paper, variances surfacing at stocktake. RetiFlux™ built as an independent source of truth: QR codes, zone tracking, FIFO, full audit trail. No installation required.

Six Products. One Root.

All products in this portfolio were built because a real operational problem demanded them. The etimology is based on the job each app executes, showing conciseness and focus on the solutions.

Nexis™

From Latin nexus — a bond, a connection. The system that holds the operational threads together.
Unified Command Platform for Enterprise Operations
Born as a clerk's solution to a 5-day payroll problem. Iterated through Access, Excel, VBA, and Python over three years under live operational pressure. Today it manages a large, distributed workforce across HR, logistics, supply chain, energy operations, and commercial activities, processing payrolls in 8 seconds with full KRA statutory compliance, from a single interface.

Flagship · Warehouse & IMS

RetiFlux™

From Latin retis (network, grid) and fluxus (continuous flow). Retis Fluxit, Data Vincit — The Network Flows, Data Conquers.
Universal Warehouse Management. Any Product. Any Scale.
An enterprise ERP was fully deployed at the site. Stock Shrinkage was still happening, evidence of unacountability because the numbers being posted into it were wrong, adjusted to balance on paper. Month-end stocktakes revealed variances the system could not explain, because the system had been fed inaccurate data from the start. RetiFlux™ was built to sit beside the ERP as an independent source of truth: pallet-level accountability, QR codes, zone tracking, and an audit trail that cannot be edited. It runs in any browser with no installation.
  • QR-code pallet labelling & scanning
  • Zone-based inventory control
  • FIFO & FEFO enforcement
  • Split and merge pallet operations
  • Multi-role access — Supervisor, QA, Clerk
  • Complete movement audit trail
  • GPS geofencing (optional)
  • Google Sheets or PostgreSQL backend
  • Thermal & A4 printer compatible
  • ERP integration via API

Specialist Tools & Add-Ons
📊
Analytics & BI
Lumaris™
From Latin lumen (light) + analysis. It illuminates what the data is saying.
"Board-Ready Intelligence. Zero Manual Effort."

Automated 7-page PDF reports — workforce heatmaps, turnaround time distribution, shift forecasting, KPI dashboards, and issue Pareto analysis. Delivers to the inbox automatically. Built for warehouse and operations managers who are accountable for output and have no time to build reports.

🤖
Analytics & BI
Oris™
From Latin os, oris — voice, mouth. It gives your data a voice.
"AI Narrative Analytics for FMCG Operations."

Reads promotion and operational performance data, then writes the analysis — 12 to 15 structured insights, 7 strategic recommendations, a 7-day forecast, and a risk assessment. Delivered as a formatted Excel sheet. Analysts receive the narrative, not the raw numbers.

🧾
Compliance Automation
P9X™
P9 — the KRA annual tax form. X — the processing engine. Exactly what it says.
"40 Hours of Manual Work. Under 5 Minutes."

Processes hundreds of employee records against a KRA P9 template simultaneously. Fuzzy name matching at 95% similarity handles name variations across source files. Batch output, 100% formatting accuracy. Built because I had to do this manually every year and it was taking weeks.

Enterprise Migration
NexusVBA™
Nexus (connection) + VBA (the legacy it migrates from). The bridge between old and new.
"Legacy Excel VBA → Enterprise PostgreSQL. 250× Faster."

Full Python and PostgreSQL rewrite of legacy VBA business systems. Preserves all rules, all calculations and workflows, while delivering multi-user concurrent access, cloud deployment readiness, and orders-of-magnitude performance improvement. We built this methodology by migrating ourselves first.

Analytics & Business Intelligence — Managed Service

Lumaris™ and Oris™ delivered as a service. You supply the data. We deliver the intelligence.

Most organisations have the data. What they lack is the time and the tooling to turn it into something a manager can act on. We configure Lumaris and Oris against your operational data — warehouse movements, promotion performance, dispatch records, financial transactions — and deliver scheduled reports and narrative analysis directly to your team. No dashboard to learn. No analyst to hire. The insight arrives.

The Software Is Not
Always the Problem.

Large ERP systems fail in this market all the time. Not because they are technically deficient, but because they were designed for a different operational reality and deployed here without that being acknowledged.

Enterprise software does not prevent someone from posting a wrong number. No system stops a supervisor from adjusting a count to balance a sheet. Software records what people tell it. If the culture around the system is not addressed, the system becomes a sophisticated way of recording the wrong information more efficiently.

All engagements we take begin with the operational reality, not the software requirements. We look at what is actually happening on the floor; how work is tracked, where accountability is unclear, what the system will be asked to do. This is done before we propose anything.

This is why our first client is also our most demanding reference: we run the system ourselves, on our own operations, and we feel every gap we have not yet closed. There is no version where we can sell something that does not work, because we are the first to depend on it.

We Don't Sell From a Catalogue

Engagements begins with a discovery call. We'd need to understand the operation before we propose a solution. If what you need is not something we can build well, we say so.

Phased Delivery Protects Your Investment

The first phase always produces a working system — not a design document or a prototype. You validate real workflows with real users before we build further. You commit to the next phase only when you are satisfied with what you have seen.

We Stay After Go-Live

Hosting, monitoring, priority incident response, monthly optimization, and continuous development are part of the engagement. A system we built is a system we stand behind. You will not be handed documentation and a support ticket queue.

Emerging Markets Is Our Context

Full Kenya statutory compliance — PAYE 2025 bands, NSSF tiered contributions, SHIF, AHL. Infrastructure resilience for variable connectivity. Local operational culture accounted for in all workflows. This is not a feature. It is the default.

Why NexGridCore DataLabs.

Most technology vendors understand software. We understand the work the software has to do. That distinction matters more than any feature comparison.

We Are the Client

Nexis™ runs our own operations. A large, multi-site workforce. Live payroll. HR, logistics, supply chain, energy operations, commercial activities — all of it. We are not describing a system we built for someone else and hoping it generalizes to your situation. We are describing a system we depend on, that we have iterated under real operational pressure since 2022, and that we feel immediately when something is wrong. All features that ships has been used by someone who could not afford for it to fail. That is the credential we bring to each engagement, not a case study, not a reference call, We are the reference. Mibrinesh Investments is available for direct conversation with prospective clients.

The Company Was Incorporated After the Products Worked

NexGridCore DataLabs was incorporated in September 2025. The first product was built in 2022. The company was not founded to build something — it was founded because something already existed, already ran in production, and was already generating real value. We are not asking you to bet on our potential. The iteration already happened.

Open Standards. No Dependency on Us to Function.

All the systems we build run on open-standard technology — PostgreSQL, Python, Node.js, React. Nothing we deliver requires a proprietary runtime, a vendor subscription, or our continued involvement to keep working. We build systems that outlast the engagement.

We Design Around the Operational Reality, Not the Requirements Document

RetiFlux was built because a fully deployed enterprise ERP could not stop someone from posting a wrong number — and shrinkage persisted for that reason, not a technical one. Nexis was built because a five-day payroll cycle with errors at the end of it is not a software problem, it is a process problem that software can solve if the software understands the process. We have done this work ourselves, at ground level, with real consequences. That is what we bring to the conversation before we write a single line of code for you.

Mibrinesh Investments.
Every department. All sites. Fully digital.

Mibrinesh Investments- this is a manpower provision company that not only supplies manpower, but streamlines operational processes to ensure efficiency and maximum output, while utilizing manpower optimally. Its operations are connected across four sites, with departments spanning HR and workforce management, logistics, supply chain and financial administration.

When we began working with Mibrinesh in 2022, each one of those functions ran on manual processes: paper records, handwritten attendance registers, spreadsheets that no two people had the same version of, and a payroll cycle that consumed the better part of a working week. Each site operated independently, with no shared visibility across the organisation.

Today, Mibrinesh Investments runs entirely on NexGridCore DataLabs systems. Nexis™ manages their full workforce operations, ie payroll, HR records, activity tracking, financial reporting, and compliance — across all four sites from a single platform. RetiFlux™ runs inventory and production documentation at their warehousing operations. Oris™ delivers AI-generated performance analysis for their commercial activities. P9X™ handles annual KRA tax compliance. The organisation did not adopt one system. It adopted an integrated operational infrastructure, built and maintained by the same team that understands every department it serves.

"

Before these systems, our operations ran on paper and manual processes across all sites. Department leads now has real-time visibility into their numbers. Payroll that took the better part of a working week closes in seconds. We did not just get software, we got a unified operational command hub.

Engagements start with
a conversation.

We do not send a brochure and a pricing sheet. We ask questions about the operation, the current pain, the outcome you actually need. If what you are dealing with is something we can solve, we will tell you clearly how and what it costs. If it is not, we will tell you that too.
